This position is based in Cairo, Egypt and will report directly to the Regional Marketing Director, METAThe role will help maintain the operations of Egypt Regional Office (ERO) in addition to maintaining solid relationships with internal and external stakeholders by responding to emails, arranging calendars, scheduling meetings, scheduling conference calls, and several other administrative tasks.

Your Responsibilities will be :

  • Creating and maintaining office systems, such as data management, filing, in addition to contracts cycle management and archiving
  • Responsible for office management, operation, maintenance, supplies and logistics management of Egypt Regional office (ERO)
  • Perform complex administrative tasks for ERO functions, including but not limited to proactive calendar management, travel arrangements, presentations and preparing expense reports, medical claims collections while adhering to Acino procedures and policies
  • Meeting & greeting guests and business partners at all levels of seniority
  • Manage corporate rates for hotels and restaurants
  • Organize meetings and events including scheduling, coordinating room schedules, AV assistance and catering
  • Create purchase requisitions and assist in reconciling open purchase orders as well as supervise backend monitoring reports
  • Generates monthly spending breakdown reports from system for the different departments to facilitate analysis
  • Extracts monthly reports from CRM and creates MSLs dashboard
  • Collect and compiles monthly activities reports for the MA team
  • Extracts and analyses all META monthly activities and events/country from EMS
  • Provide updated monthly performance dashboard to META team for monthly brand team meeting, done by regional team
  • Keep tracks of functional budget & actual spending on monthly basis by aligning with finance/procurement's monthly tracker
  • Ensure securing best possible rates from our vendors for External & Internal activities/events, to reduce cost & have positive impact on budget
  • Organize files and folders on SharePoint Site, as needed

Your Profile :

  • Bachelor degree
  • Previous experience in a similar position is a must
  • Excellent command of written and spoken English
  • Administration or Secretarial qualification preferred
  • Demonstrable administrative or secretarial experience working in a flexible team environment supporting Senior Management and their teams
  • Excellent computer skills and proficiency with Microsoft Office products
  • Excellent organizational and co-ordination skills
  • Demonstrate ability to prioritize, pro-actively work independently and collaboratively with other administrative assistants/external partners, across organizational levels and functions
  • Excellent communication skills and influencing ability, demonstrates success in building productive relationships with internal and external stakeholders 
  • Digital Marketing Certificate/Diploma is a plus
